HOW IT WORKS

Step 1: Register for AVA U.S.

Purchase your ticket to AVA U.S. before March 15, 2025 to be eligible.

On March 17, 2025, eligible organizations will receive an email with a submission form requesting:

  • Budget

  • Organization size

  • Region(s) of impact

  • Current funders

*The deadline to submit this form is March 21, 2025 (late submissions will not be accepted).

AVA US Grantee Day FAQ

Where is Grantee Day?

Grantee Day is taking place inside of the AVA Summit hotel, the LAX Marriott, in Los Angeles, California.

What time is Grantee Day?

Grantee Day is taking place from 9am to 5pm (PT) on Thursday, May 15.

I'm traveling on a tight timeline. Can I make a request for my meeting timeframe?

Unfortunately, no. Due to the complexity of scheduling over 100 appointments across multiple rooms during Grantee Day, we are unable to accommodate individual requests for specific meeting times. To ensure fairness and manage logistics effectively, we must adhere to a standardized schedule for all participants.

We missed the form deadline. Can we submit it late?
No. Due to the complexity of scheduling hundreds of applicants with dozens of funders, late submissions cannot be accepted.

A funder selects my organization, but we don’t get a meeting—why?
Even if a meeting isn’t scheduled, your two-pager and contact information will still be shared with funders.

Does AVA International decide which organizations get selected?
No. AVA International only facilitates the logistics. We do not filter applications or determine funder selections.

What should be on my two-pager?
We will provide clear guidance and support on creating an effective two-pager and how to prepare for your meeting when your appointment is confirmed.

Can multiple people from our organization submit?
No. Each organization can submit only once. The invitation to apply will be sent in the following priority order:

  • Executive Director / CEO / Founder

  • Head of Development

  • Other leadership or development professionals

What if someone else from my organization registered me, but I didn’t receive the Grantee Day email?
If another team member registered you for AVA U.S. but used their email during registration, all Grantee Day correspondence will go to that email—including the submission form and appointment details.

To avoid missing this opportunity, please:

  • Confirm internally who in your organization received the registration confirmation

  • Ensure they forward Grantee Day emails to the appropriate person (e.g., Executive Director, Head of Development)

  • Register with the correct email if you want to receive the submission form directly

What if my organization was registered by/with a team member who isn’t in a leadership role?

If a manager or team member registered someone else to attend AVA U.S., but that person is not a senior leader (e.g., Executive Director, Head of Development), the Grantee Day invitation and submission form will still be sent to the email used for registration.

To ensure your organization doesn’t miss this opportunity:

  • Confirm internally who received the AVA U.S. registration confirmation

  • Ensure they forward all Grantee Day emails to the appropriate decision-maker

  • Register with the correct email if you want leadership to receive the submission form directly

Is AVA responsible for making sure the right person in my organization receives Grantee Day emails?

No. AVA is not responsible for tracking or notifying leadership or other team members about Grantee Day emails. It is your organization’s responsibility to ensure that the correct person is aware of and responds to the invitation.

AVA cannot resend missed emails or adjust deadlines due to internal miscommunication. If you’re unsure or need assistance, contact AVA at as soon as possible. Best point of contacts are listed below.

Are the form submission details handled with confidentiality?

Yes. AVA International will handle all sensitive information submitted in the form with the utmost care and confidentiality.

Who can I contact for further questions or assistance with Grantee Day?

Please email GranteeDay@AVASummit.com for all Grantee Day related inquiries.
