AVA US 2025 Exhibitor Guidelines

Welcome exhibitors! We’re thrilled to have you join us at AVA Summit 2025. Your presence in the Exhibit Hall helps fuel connections, inspire advocacy, and strengthen the movement for farmed animals. Below, you’ll find everything you need to know about setup, shipping, and logistics to ensure a smooth and successful experience. We can’t wait to see your work in action!

Exhibitor Registration & Load-In

Exhibitor registration and load-in will begin at 1:00 PM on Thursday, May 15th at the Los Angeles Airport Marriott. Please make every effort to complete your setup by 5:00 PM to ensure a smooth experience before the event begins.

Exhibit Hours & Staffing

While exhibitors are encouraged to table anytime between 9:00 AM - 5:00 PM on May 16th and 17th, peak exhibit hours are from 11:30 AM - 1:30 PM and during session breaks. We ask that at least one staffer be present at your table during these peak hours and encourage staffing throughout the event as much as possible.

Signage & Display Restrictions

Nothing may be affixed to hotel walls. If you have signage, please come prepared with pipes, stands, or easels to display materials.

Preferred Local Printer – Save on Costs & Emissions

We suggest Mina Printing to help exhibitors save time, reduce shipping costs, and minimize carbon emissions. Mina Printing offers:

Hiring? Showcase Job Openings!

The AVA Summit is a great opportunity to connect with potential employees! Please bring printed copies of your current job openings and display them at your table in the Exhibit Hall.

Shipping & Receiving Packages

If you need to ship exhibit materials, please keep track of your package’s tracking number, as this will be required by the hotel to locate your items.

Outgoing Packages

The hotel does not have an onsite shipping office. We recommend bringing pre-paid labels and scheduling a pick-up with your preferred carrier in advance.

Swag Bag Items Shipping

The first 500 attendees will receive a Swag Bag at registration. If you are a Silver Sponsor or above or have arranged to include an item, please ensure your swag items arrive by Tuesday, May 13th to be included. Swag Bags will be assembled on May 14th, and late arrivals are not guaranteed to be included.

WiFi, Power, & A/V Needs

If you have purchased a WiFi or Power Upgrade or are a Sponsor at any level, your A/V needs should already be arranged. Additional requests may result in additional hotel charges.
