Currently hiring: Program Coordinator - Apply by February 28, 2025

Reports to: Taylor Waters, Head of Programs
Location: Remote
Time Commitment: Part-time, 10-15hrs per week, with a potential of increasing

Starting Date: April 1, 2025

Employment type and rate: Contractor basis, $20/hour

The Program Coordinator will play a pivotal role in executing the vision of AVA International and its regional events (US, Latin America, Africa, and Asia). This person will be responsible for assisting with speaker communication and logistics, assisting in conference program development, collaborating on attendee correspondence, and on-site speaker liaison. The Program Coordinator will ensure a seamless experience for all stakeholders before, during, and after each event.

Key Responsibilities

​

  1. Speaker Management & Program Development

    • Serve as the secondary point of contact for all confirmed speakers and moderators, ensuring timely and clear communication.

    • Coordinate speaker logistics (e.g., scheduling, session formats, presentation materials) in collaboration with the Head of Programs.

    • Assist in developing and refining the conference program, including scheduling sessions, workshops, and training opportunities.

    • Support the curation of speaker submissions and maintain program-related documentation.
       

  2. Attendee & External Partner Communication

    • On-site liaison for speakers and the AV team, ensuring professional and courteous communication.

    • Provide regular updates to attendees regarding event schedules, program highlights, and logistical details.

    • Collaborate with external partners and organizations that engage with the AVA Summit through speaker recommendations or other program-related interactions.
       

  3. Event Logistics & Coordination

    • Contribute to the development and maintenance of event software/app for both speakers and attendees (e.g., creating session descriptions, speaker profiles).

    • Ensure smooth processes onsite or virtually, including speaker check-in, tech checks, and panel coordination.

    • Maintain detailed records of event deliverables and timelines to ensure alignment with overall conference goals.
       

  4. Cross-Functional Collaboration

    • Work closely with the Partnerships Manager (for sponsor and exhibitor hand-offs) and other internal teams to streamline event workflows.

    • Collaborate with the communications team to highlight speakers, sessions, and Travel Award recipients.

    • Participate in regular planning meetings and provide updates on program-related progress, challenges, and solutions.
       

Qualifications
 

  • Education & Experience

    • Bachelor’s degree or equivalent in field related to animal advocacy, social change theory, business administration, communications, philosophy, or related fields.

    • At least 5+ years of experience within the animal rights movement;

    • Deep understanding and knowledge of the animal and vegan advocacy movement and organizations.
       

  • Skills & Competencies

    • Strong written and verbal skills, with the ability to interact professionally with speakers, attendees, and external partners from diverse backgrounds.

    • Exceptional project management, multitasking, and prioritization abilities.

    • Able to manage logistical details accurately and efficiently.

    • Comfortable working in a collaborative, fast-paced environment with cross-functional teams.

    • Proficient in Google Workspace, or similar productivity tools; experience with conference apps or CRM systems advantageous. Familiarity with event management/event platform tools (Whova), project management software (Asana) is a plus.

  • Personal Attributes

    • Ability to travel internationally at least four times per year. 

    • Integrative thinker who has the ability to see how seemingly separate parts fit together into a bigger picture, and to draw thematic, analytical connections between them.

    • Cross-cultural competency, being sensitive to cultural norms, communication styles, and customs. This role requires a respect for diversity and a genuine interest in learning from others. 

    • Ability to adapt strategies and communication styles to different cultural contexts. 

    • Creative problem-solver who can navigate unexpected logistical issues in unfamiliar places.
